Every package includes annual build/setup hours to get your show live (onboarding → site build → registration/classes → proofing → launch) plus secure hosting maintenance.

FAQ (Frequently Asked Questions)
Getting Started
1) What exactly do you build for my show—just a website, or the full system?
We build a complete show management system—website + registration + payment flow + dashboards + reporting + (package-based) judging and day-of tools. It’s built to help shows run smoother and grow faster.
2) How fast can we go live once we sign?
Once we have your signed agreement, paid invoice, payment portal setup, and completed onboarding form, we typically go live within 2 weeks.
3) What do I need to provide you to get started?
You’ll complete our onboarding form and provide the basics: event date/location, classes (or we help you pick), sponsor tiers (if applicable), logo (if you have one), and connect your payment portal. We do the rest.
Registration & Payments
4) Do you handle online registration and payments?
Yes. Every package supports online registration and payment tools. Package level determines depth of ops tools, reporting, judging features, and support.
5) Can we still accept cash/check at the gate?
Yes. We support walk-ups and gate payments. Your Liaison Coach helps set the day-of flow and trains your team so check-in runs clean.
6) Do you take a percentage of our registrations or sponsor revenue?
No. ACS/OCS does not take a percentage of your registration, sponsor, vendor, or merch revenue.
7) Do we have to use Stripe? Can you help us set it up?
We strongly recommend Stripe for secure card + ACH processing. Yes—we can help you connect Stripe and set it up correctly for your show.
8) Can we cap registrations and automatically stop entries?
Yes. We can set a cap (example: 300 vehicles) and automatically close registration when you hit the limit.
Weather, Waivers & Liability
9) What happens if it rains—do you offer refunds?
We recommend you don’t promise refunds. Most shows run rain or shine, and best practice is planning a rain date. Your show policies should be clearly posted on your site.
10) Do you provide waivers and release forms for registrants?
Yes. We provide waiver/release language for your registration page and walk-up process.
Ownership, Platform & Security
11) Who owns the website, registration system, and platform tools?
ACS/OCS owns the platform, site framework, and system tools. Your show leases the technology and services during your agreement term.
12) Is my data and my registrants’ data secure?
Yes. We use secured hosting, controlled access, and operating procedures designed for event registration data. Security and integrity are part of our core promise.
13) Can I share your platform tools, templates, or processes with other shows?
No. Our system, tools, and trade processes are for your internal show team only. Sharing outside your approved team or with other show directors requires written approval.
Show Day Operations
14) How does check-in work on show day (dash cards, fast lane, walk-ups)?
Your team uses a fast check-in workflow. Walk-ups use a simple form + quick entry screen. The system prints dash cards and helps you keep lines moving.
15) Can you handle motorcycles, vendors, or special categories?
Yes. We can add motorcycles, vendor booths, and special categories. Some are included depending on package; larger changes may require billed edit time.
Judging & Awards
16) How does judging work—do you offer QR judging and People’s Choice voting?
Yes—depending on package. Our tools support judging structure, placement reporting, and People’s Choice options. We also train your team on how to run it clean.
17) How many classes should we have—stock vs. modified? Can we customize classes?
We strongly recommend at least two lanes: Stock and Modified. Many shows do Top 3 Stock + Top 3 Modified plus Best of Show in each. Custom classes are available; extensive custom work may add cost.
18) Will awards and placements be organized and fast?
Yes. The goal is clean workflow and fast reporting so awards stay on schedule and winners can be posted quickly after awards.
Sponsors, Vendors, Merch & Growth
19) Can sponsors and vendors register and pay online?
Yes (package dependent). Sponsors/vendors can register, pay online, and access downloadable items like maps/instructions if enabled.
20) Do you provide a merch page for shirts and items?
Yes (package dependent). If enabled, your show can sell shirts/items online and generate additional revenue.
21) Do you provide marketing graphics and flyers?
Yes—package dependent. We also provide a Marketing Request Form so your team can submit requests cleanly. Additional work outside package scope is billed at $90/hour.
22) Will this help us get more sponsors and more registered vehicles?
Yes. A professional system builds credibility, improves registration flow, and strengthens sponsor confidence. Most shows see better organization and stronger sponsor appeal with a polished website + process.
Training & Support
23) What kind of training do you provide for my team and judges?
Tutorials, checklists, and (package-based) Zoom training for your registration team and judging team. Your Liaison Coach ensures everyone is ready before show day.
24) Do you offer on-site support or just Zoom support?
Both—depending on package and needs. Many shows run great with Zoom training and remote support; larger events may use day-of support.
25) What if my volunteers aren’t tech-savvy?
That’s normal. Our system is built to be simple. With training and a short practice run, most teams pick it up quickly.
Edits, Add-Ons & Costs
26) What’s included vs. what costs extra (edits, design, changes)?
Initial build includes proofing and go-live. After approval, edits are billed at $90/hour, and requests must be submitted through the Marketing Request Form so nothing is missed.
27) Can we run two shows per year on the same site?
Yes. We allow two shows per year, which helps you maximize your investment. The second show may require edits and Liaison Coach support depending on changes.
28) What if we outgrow our package—how do upgrades work?
You can upgrade anytime. If you start on P2 and need P3 tools later, you’ll move into the next package level based on the current price sheet, plus hosting as applicable.
